Digital transformation improves efficiency of youth union activities

BAC GIANG - Youth union members are often more adaptive to science and technology. To promote this advantage, youth unions at all levels in Bac Giang province have gradually applied information technology (IT) and digital transformation in their work, contributing to meeting requirements in the new situation.

Currently, the province has 18 district-level youth unions, 482 grassroots-level unions and nearly 4,700 union branches with more than 75,000 members. The large number of members, increasing year on year, requires member management methods to be continuously reformed.

Delegates visit the technological equipment booth at the 6th Congress of the Bac Giang city Youth Federation for the 2024-2029 term.

In 2022, the provincial Youth Union deployed management software for 12 youth union work operations, including admission of new members; those moving out and in; maturity of members; deletion of members' names; member training programme; assessment and classification of members; honorary members; elite members; reward and discipline; members who work far away; participation in youth union activities at residence; and engagement in temporary youth union activities.

In addition, the software integrates a number of additional features to increase interaction among the youth unions such as internal chat, text instructions, and meeting invitations.

Member information on the system is fully showed, meeting the requirements for storing, managing, searching and using the membership database at all levels, thus contributing to promoting digital transformation in youth union work, and youth and children's movements.

La Thi Huong, Secretary of the Youth Union of Yen Dinh commune, Son Dong district, said: "The whole commune has 325 youth union members operating in nine branches. The terrain is wide and people's houses are far apart, so managing and deploying activities to members faced difficulties. Since using the software, all information about members has been strictly managed. The implementation of activities and movements is more convenient, attracting more members."

Not only in Yen Dinh commune but also other grassroots-level youth unions across the province, the software has proven effective. The provincial Youth Union’s Standing Board has included this content in the project to improve digital capacity for young people and promote the core and leading role of the youth unions at all levels in the 2022-2025 period.

It has instructed affiliated units to create tree data structures and decentralise management and grant accounts to affiliated youth unions. The provincial Youth Union's Organisation and Inspection Board has regularly exchanged information and gave guidance to units during the implementation process.

With active and synchronous implementation, to date, 100% of youth unions in the province have seriously implemented the management of youth union members and affairs in accordance with the set schedule.

In 2023, the provincial Youth Union will select the youth unions of the provincial agencies and Bac Giang city to pilot the "Digital Youth Union" model. In addition to digitising member data, the units mostly apply online and paperless meetings.

The Bac Giang city youth union's branches have applied online attendance through QR code and Google form in gatherings or online conferences. They have regularly used online tools to organise contests and disseminate the contents of youth union activities.

The congresses of youth federations at all levels will take place this year, towards the 6th Congress of the Youth Federation of Bac Giang province for the 2024-2029 term. The Bac Giang city youth union was chosen to organise the model congress at district level in March 2024. One of the new points was the application of IT and digital transformation in the process of organising the congress.

Digitizing documents not only saved costs and shortened preparation time but also created a professional, modern and effective working environment and style.

Therefore, in the coming time, youth unions at all levels will continue to promote digital transformation in their activities, and gradually participate in the process of building a digital government and digital society. Youth union officials and members, and youngsters are responsible for promoting and improving their own digital capabilities.
